Planning a wedding evening buffet

Count who will eat in the evening and give the meal its own place in the day.

Create an evening meal count

Separate additional evening guests from the daytime guests who may also eat. Explain what food has already been served and when, then discuss the evening buffet’s role. The new-arrival count on its own does not describe everyone who might want food; the daytime guest count alone may miss people joining later.

Include any children and the organisers or suppliers you intend to feed. Agree the food allowance for the evening serving rather than assuming it is unlimited or an automatic extension of an earlier meal.

Choose food for the way guests will eat

Tell the team whether guests will be seated, moving between spaces or gathering around a central display. The British Celebration and other suggested menus can start the conversation, but the final dishes, quantity and serving arrangement need their own confirmation.

If you want food set out while the rest of the reception continues, decide who will look after that part of the event. Delivery, setup and staffed service have different scopes. Coordinate any room change with the venue so that the catering team has an agreed working position.

Keep decisions in one version

  1. Add the evening food plan to the main wedding running order.
  2. Confirm the count for this serving and mark any estimates.
  3. Review the menu, allowance, equipment and service against the venue layout.
  4. Nominate one person to discuss timing changes during the reception.
  5. Retain the final accepted details with your booking documents.
