Planning an office buffet delivery

A clear receiving plan helps the food reach the room you intended.

Specify the receiving point

An office address can contain several entrances, receptions or meeting spaces. Give the building name, postcode, useful entrance and room or floor. Ask the workplace team about visitor procedures, delivery access and any restrictions before requesting the delivery arrangement.

Nominate someone who will be available to receive the food. A participant leading the meeting may not be able to leave a session or answer an arrival call. Reception staff also need to know whether they are admitting a delivery or accepting responsibility for it.

Check the route inside the building

  • Confirm any sign-in, security or reception instructions through your workplace.
  • Explain stairs, lift availability and the route to the agreed food area.
  • Ask whether the serving area can be prepared before delivery.
  • Identify who will receive any food instructions and equipment.
  • Tell the catering team about an access change before the delivery day.

Connect delivery to the meeting

Choose a handover arrangement that matches the agenda. Food arriving at reception is different from food set out in the room. If setup is required, ask for it explicitly and confirm what the team will do. If guests eat later, discuss the timing and handling arrangements for that particular menu rather than assuming the buffet can remain out.

Delivery availability, the window, access needs and any charge are confirmed for your own Peterborough postcode and event. Use the meeting lunch guide for the agenda and guest experience, and the handover checklist for responsibility after arrival.
