Planning a buffet in a marquee

Give the marquee, venue and catering teams one practical plan.

Reserve working space as well as guest space

A marquee layout may include dining, a dance floor, a bar and other suppliers. Add the proposed buffet position and any working area the catering team needs before the layout is finalised. Tell the team whether they are serving inside the structure or from another agreed space.

Ask the relevant suppliers to assess the arrangement together. A marquee booking does not automatically include catering furniture, food facilities, serving equipment or staff. A catering booking does not establish that the structure or site is suitable for every proposed menu.

Sequence supplier access

Tell the caterer when the marquee and its interior will be ready for access. Confirm who is responsible for tables being positioned and facilities being available. At the finish, equipment collection needs to fit the site and structure schedule; do not leave this until another supplier is already dismantling.

Give the site contact the same running order as the catering team. If the layout or service point changes, check its effect on access and equipment with both sides. A revised seating chart alone is not confirmation of a changed catering arrangement.

Keep the quote tied to the site

  1. Share the exact postcode, event date and intended eating time.
  2. Describe the serving area, facilities and unloading route.
  3. Confirm the agreed menu, food allowance and level of staff support.
  4. List furniture and equipment by the supplier responsible for each.
  5. Keep the final layout and finish arrangements with the booking documents.

This is coordination guidance, not a structure specification or an all-weather service promise. Site suitability and any required equipment remain subject to assessment and agreement.
