List what happens alongside the buffet
A food quotation does not automatically establish a drinks arrangement, dessert service or a complete refreshment package. Write down what you want guests to have before, during and after the meal. Identify which parts you want to discuss with the catering team and which are provided by the venue or another supplier.
If you want a sweet finish, ask whether it belongs within the buffet menu or follows separately. Homemade cupcakes appear in some suggested menus on this site, but those examples are not fixed packages. The final dishes, quantities and service belong in your own proposal.

Avoid competing queues and duties
At a meeting, drinks preparation can overlap with the person receiving lunch. At a party, a drinks point beside the buffet can draw people into the same small area. Where someone else provides a cake or other food, agree the handling and serving responsibility directly. Do not assume the buffet team will accept, store, cut or serve another supplier’s food. Any requested support needs discussion and written confirmation.
Put the agreed scope in the budget
- Mark each item as included, separately quoted or supplied elsewhere.
- Allocate equipment and service duties for each part.
- Fit availability and clearing into the running order.
- Review the combined total so the same item is neither missing nor counted twice.
